PropertyWorx AI: Streamlined dashboards tailored for tenants, property managers, and vendors. Each design prioritizes intuitive navigation, key metrics, and essential task management to enhance property management workflows.

Overview
At Brady UX, we partnered with Cresolutio—represented by Aaron Warren, Glenn Steinhandler, and Stewart Kippleman—to create PropertyWorx AI, a revolutionary SaaS platform aimed at transforming property management. The product streamlines communication and operational workflows for tenants, property managers, and vendors. As the Head Designer and Product Lead, I worked alongside Olya Androsik, who managed operations, to deliver a user-centered design powered by AI-driven insights and stakeholder collaboration.
Initial Research and Discovery
Our process began with comprehensive stakeholder interviews to uncover Cresolutio’s goals, user pain points, and desired outcomes. We enriched this data with competitive analysis and resources from the client. Leveraging this research, we trained a custom ChatGPT agent to support the design process by synthesizing information and generating actionable insights.
AI-Driven Design Process

User personas guiding the design process for PropertyWorx AI. From Alex Rivera, a tech-savvy tenant seeking transparent maintenance updates, to Malik Johnson, a data-driven property manager focused on operational efficiency, these personas ensured a user-centered approach in addressing diverse needs.

User flow for tenant issue reporting and maintenance management in PropertyWorx AI. This streamlined process connects tenants, property managers, and vendors to ensure quick resolution and enhanced operational efficiency.

AI-assisted wireframes created with Figma’s First Draft feature, laying the groundwork for PropertyWorx AI’s user interface. These wireframes streamlined the design process, enabling rapid prototyping of essential screens for diverse user roles.

Personas and User Flows
AI synthesized our findings to create detailed user personas and critical user flows. From these, we identified three core workflows:
Tenants reporting an issue.
Property managers assigning tasks to vendors.
Vendors resolving issues and logging completion.
Wireframing with Figma’s First Draft
We utilized Figma’s First Draft AI feature to produce multiple wireframe concepts for each screen, ensuring alignment with user needs and brand identity. AI tools also generated design elements such as interactive maps and navigation menus, enabling a cohesive and visually appealing interface.
Prototype and Dashboard Development
Dashboard Designs
Drawing inspiration from top industry designs, we developed three bold, blue-themed dashboards to meet user-specific needs:
Tenant Dashboard:
Combines building imagery, rent payment options, issue reporting, and a social feed to enhance user engagement and accessibility.
Property Manager Dashboard:
Features key metrics like maintenance efficiency, tenant satisfaction, and vendor performance. Tools for task prioritization and issue tracking are seamlessly integrated.
Vendor Dashboard:
Includes daily job schedules, timesheets, and proximity-based navigation for task completion.
These dashboards established the visual and functional framework for all other screens.
Iterative Prototyping and Feedback
We maintained a feedback-driven design approach, leveraging Figma comments and Slack to incorporate suggestions from stakeholders like Aaron and Glenn. Slack served as a vital communication hub, enabling real-time collaboration and swift resolution of design challenges. Shared documents such as "Explainers of CXM CX CS" and "The Benefits of a Customer-Obsessed Mindset for PropertyWorx AI" facilitated informed discussions and ensured alignment. Scheduled meetings, including a key session on Monday at 1 PM, provided structured opportunities to refine the design and address critical feedback.
Key Features and Workflows
Tenant Workflow
Report issues with descriptions and photos.
Track vendor location and estimated arrival.
Verify vendor identity with proximity badge and monitor job completion.
Property Manager Workflow
Receive and review tenant requests with prioritized urgency.
Assign tasks to vendors and track real-time progress.
View updates, leave comments, and ensure issue resolution.
Vendor Workflow
Accept tasks and access location using built-in navigation.
Perform a "digital handshake" via proximity badge verification.
Update task status and log job notes, ensuring transparency.

Teddy AI Integration
We introduced Teddy AI, an intuitive digital assistant designed to guide users through the app and troubleshoot common issues. Teddy’s custom-designed logo, prominently displayed in the app menu, fosters a user-friendly and supportive environment.
Enhanced Prototype Design
Each prototype features:
Real-Time Notifications:
Alerts for updates, task progress, and maintenance needs.
Predictive Analytics:
AI-driven insights to anticipate tenant needs and optimize vendor assignments.
Customizable Dashboards:
Users can tailor dashboards to highlight relevant metrics and tools.
Interactive Elements: Dynamic maps, social feeds, and accessible navigation menus.
Outcomes and Impact
The project delivered three high-fidelity prototypes that transformed property management workflows.

Key outcomes included:
Improved task resolution times through streamlined workflows.
Increased tenant satisfaction with real-time issue tracking and updates.
Enhanced vendor accountability and performance visibility.
Conclusion
